Zoho CRM Tip: Potential Stages and Stage History

The module named Potentials have started to roll out, for new customers, this being named as Deals by Zoho. It has also been called or renamed (by users, not Zoho) Opportunities. Regardless of the naming convention used, the functionality is the same. There are benefits to using Potentials, including a number of pre-built reports for Pipeline etc. being available and the Kanban function for organizing Views. Potential is the revenue opportunity associated to an Account/Contact. It is what you are hoping to sell to them. The Stage field is the primary field aligning Zoho to your sales process for reporting, forecasting and more. It’s recommended to customize this to align to the steps/stages in your sales process. 

The Potential Stages:

As you work with a Potential, change their Stage until they are ‘Closed Won or ‘Closed Lost’. You can change the stage in the graphic or in the field. Your organization’s administrator can set the stages and probability in the Admin panel as well:

See below how you can scroll down (also by clicking in Quick Link of the Related List on the left menu) to the content below the Potential profile and see the Stage History as you edit the Stage over time.

Zoho CRM Tip: Introduction to the Home Tab (Part 1)

The Home Tab of CRM indicates progress of all your activities taking place in Zoho CRM. The Home Tab consists of various modules such as Tasks, Potentials, Leads, Dashboards etc. These components walk you through your everyday sales, provides quick report of daily activities and organizes your tasks. This forms to be the first Tab from the left which gives overview of everything happening in the other tabs.

Navigation in the Home Tab is easier if Customized View is selected. This view specifically show Views or filtered lists from the Tabs or Modules of your choice.

 

Examples of Views in the Accounts module could be as follows: 

• All Accounts (this would mean the organizations Accounts included those owned by all users)

• My Accounts (only the Accounts you have entered) 

• Recently Added Accounts 

• Accounts Added Today 

 

Views are a way to look at a subset of your records based on any criteria that you are interested in. 

 

This Home page is showing: 

• A Dashboard from the Opportunities tab of ‘Pipeline by Stage’

• A View from the Leads tab of ‘Today’s Leads’ 

• A View from the Activities tab of Open Tasks’ 

• A View from the Potentials tab of ‘Closing This Month’

Zoho One Tip: Advanced Fields in Zoho Form

Zoho Forms provides a variety of form fields ranging from simple text boxes to complex formula fields. You can collect payments in your order forms, perform calculations, assign a unique ID to each form entry received, and do much more using the various fields available. In your form  builder, Advanced fields list certain complex fields that help you perform calculations, collect Payments, capture digital signatures, and more. In this blog, we take you through the Advanced Fields of Zoho Form.


Open Zoho Forms, then click on the Advanced Fields Option.

Select from the Advanced Fields option pane. Here you will see fields such as Payment, Zoho CRM, Formula, Subform, Matrix Choice, Images Choices, Signature and Terms and Conditions. 

Drag and drop fields from Advanced Fields option to the form.

When the field is added in the form, you can customize the settings here for the specific field. Then click Save.

You can use the side bar for Properties, Duplicate and Delete.

Advanced Fields in Zoho Forms take the form to the next level where you can choose from the complex option and incorporate into the form with a simple Drag and Drop. For more Zoho Forms Tip, stay tuned to our blog updates.

Zoho CRM Tip – How to Setup CRM Chrome Plugin for Gmail

The CRM Chrome plugin for Gmail & Inbox is a free chrome extension that does what its name says; The plugin is a Zoho CRM integration with your Gmail in the Chrome browser.  In this blog, we will go over the procedure of installing the Zoho CRM Chrome plugin for Gmail.


Setting up Plugin

Login to Zoho CRM and follow the steps below.

Start by going to the Zoho CRM Setup.

Then go to the Marketplace and click Google.

Select the Chrome Extension for Gmail.

Click the button to install the plugin.

This takes you to the Chrome web store. In the Chrome webstore, click the button to add the plugin to Chrome.

Now the Chrome plugin will show in your Gmail inbox in the upper right part of your screen as shown in the screenshot below.

Next authenticate Google.

Next authenticate Zoho.

When an email is from a person not in your CRM, you have the options to add the person as a Lead or a Contact in CRM.

If the sender is already in your CRM, you can see all the CRM information associated to the sender’s record. In this case the sender is a Contact.

Following these easy and simple steps, you can integrate Zoho CRM in your Gmail. The functionality that this plugin brings to your inbox is very versatile. It’s like your inbox just got a major upgrade and your customers are going to love you for it.

Zoho CRM Video Tip: Custom Fields in Zoho CRM

In Zoho CRM, you can add new fields as per your needs. These fields will be available to all the users added to your organization’s CRM account and they can make changes to it as per the access given to them.


Types of Custom Fields

  • Customize Zoho Defined Fields: You can edit, delete and hide some of Zoho defined fields, but not all fields can be changed from mandatory settings. These Zoho defined fields are mandatory in Zoho CRM. For example, Last Name in Leads, Subject in Tasks etc.
  • Set Field Access Permissions: You can hide the fields for users in a specific profile or mark the fields as Read Only. 

To edit the Custom Fields according to your business requirements please follow the steps below:

  • Log in to Zoho CRM with Administrator’s privilege.
  • Click Setup Customization Modules and Fields.
  • Select the Module from the drop-down list.
  • In the List of Modules page, click New Custom Field
  • In the New Custom Field page, do the following:
    • In the Select Field Type section, select the data type.
    • In the Provide Field Details section, specify the custom field details.
  • Click Save.

Zoho One Tip: Introduction to Zoho Forms 

Zoho Forms is a no-coding, drag & drop, online form builder used to create forms for every purpose. It provides you with a variety of customization options, supports task assignment, approval workflows and is also responsive to mobile browsers.


This walkthrough is to help you get started with creating a form using Zoho Forms. Follow the simple step-by-step instructions given below to build forms  that perfectly match your requirements.


Go to Zoho Forms and click at the top right corner on the button ‘New Form’ to launch the form.

Enter the form Name and Description in the respective fields. Then click Create.

Basic and Advanced Fields are at the left side to choose from.

Drag Fields from the left into the form. 

Click on Properties at the tiny functionality bar at the right side of the field, to edit the Field Properties.

You can customize the Field Properties accordingly.

To delete the Field, click ‘Delete’ at the right functionality bar.

Click ‘Delete’.

Zoho CRM Tip: Working with Views 

Views are an important way to slice and dice your data that are saved and you can come back to at any time. Where with filters, you can search for a criteria on demand, with the View, the search criteria are saved as a list and there are some important features of the Views such as syncing to Zoho Campaigns for example.


So Views can be used as your lists that you review regularly for specific criteria. There are default views and you can make custom views. You can come back to a View at any time.


Some default Views are:

  • All records
  • My records
  • Recently Created Records
  • Today’s Records
  • Converted Leads
  • etc.


See the screenshot below for where to find the Views in any module. In this example, we are showing the Leads module for Views.

This is what the window looks like when you edit or create a View. When you edit some of the default Views, you will be unable to apply criteria to them. All custom Views you create can apply criteria.

Available Logical Operators for Specifying Criteria


The logical operators available for use in criteria depend on the data type of the selected field

Depending on the field type and operator used, you may need to specify more than one value in the criteria for a custom list view.

The Deal is also called Opportunity or Potential depending on your organization. I usually place the Deal module or tab in between the Leads module and and the Contact and Account modules. This is because, I look at a Deal as an in-between stage between the Lead and the Contact and Account.


In CRM, Leads are very ‘raw’ people you know. At the Lead stage, you have very little interaction with the people and you have not been able to get a sense of how much money you can make from those people. They have not been qualified or quantified yet.

When you know how much you think you can make if you win the Lead, it’s time to convert the Lead to a Deal, Contact and Account. The company on the Lead becomes and Account and the Lead’s first and last name become a Contact. The Deal is that in-between stage where you can now start to track the quantified possibility of a sale..
