Zoho CRM Tip: The Lead Record

Lead Record is the most significant feature of Zoho CRM and it shows the details of the lead from name, email, phone, status to the address information. This is by far the best performing and most useful aspect of CRM. It is your digital directory that makes your job easier by, letting you add the lead information to the lead record using custom fields.


The Lead Record

The Lead Record has all the fields that make up that module. There is a way to show all the fields in the profile and a way to hide the details. If you come to a record and can’t see all the details, don’t worry, the Hide Details link might be clicked. Unclick the Hide Details and you will see all the information for the record. The Lead module also has a set of sub menus. All records in the various modules look similar but have slightly different sub menus according to their type.

Editing a Lead or any Record

Click the Edit button in the submenu shown in the previous section to edit the entire record. When you create or edit a Lead it looks like the screen below. Editing records in any tab or module looks similar.

 

Only fields in the module show up when you are editing. No related list fields show up. If you are missing fields, you may be editing the wrong module. You can know what module you are in because the module background will be highlighted in the top menu.


Fields underlined in red are required fields. If you are having difficulty saving a record, ensure that all required fields are filled in.

Editing a Single Field

You can also edit a single field at a time. Be sure to save or cancel before you can edit another single record or the entire profile.

The Importance of Project Management

Project Management may seem like a simple term used to describe the management of a project from start to finish. Technically, that is what it is however, most projects seem to be complex and will need effective planning, execution and closeout. This is where the importance of project management is highly recognized and valued. Prior to elaborating on the importance of project management, it is imperative to clearly define and understand the term. According to Wikipedia “Project management is the practice of initiating, planning, executing, controlling, and closing the work of a team to achieve specific goals and meet specific success criteria at the specified time”. Basically, its main goal is to ensure that everyone in a project knows what needs to be done, when it should be completed, and ensure all resources are provided.

 

Project management is essential for a successful project completion and delivery with the following reasons:

  • Clear project objectives: During the planning phase, project management help team members understand the focus, direction and objectives of a project. The resources and budget are allocated. Without this initial coordination, the chances of a project failing are relatively high.
  • Planning and scheduling: using the project management methodology in scheduling a timeline helps to eliminate delays and overruns that could result in a project. During this phase, the start and end date are determined, tasks are allocated, and roles are responsibilities are officially assigned.
  • Resource utilization: managing a project involves a lot of moving parts, making informed decisions instantly and in advance. Resource utilization ultimately helps you maximize available resources. This is highly important because it prevents employees from under-performing or over-performing thereby, increasing overall organizational productivity.
  • Risk management: every project team starts off a project with the best strategy hoping for a successful outcome. However, it is important to recognize potential risks that could hinder the overall progress of a project. With effective project management, once can always prevent known risks, and prepare for the unknown.
  • Quality Assurance: Ideally, we think that a successful project must have a product to be delivered, be within scope and under budget or within the range. I’ll like to deviate from that a little bit and point out that quality assurance on the end-product is equally important. This is to ensure that the project adheres to guidelines, industry practices, and user requirements. Project management is important to measure the product against the above-mentioned criterion.

Organizations are faced with new project challenges and opportunities, and without a well-rounded project management plan, organizations would find themselves accumulating many failed projects and processes. Project management provides an approach to guide organizations in achieving successful project results through detailed planning and structuring.

Ebitari selected for the City of Long Beach LBCEI CEO Forum

The Long Beach Center for Economic Inclusion collaborated with The Business Experts to help small business owners get the opportunity for corporate guidance and support. The program was carried out through an interactive online learning experience where small business owners gained ideas and tools to grow their businesses and enhance exposure.


LISC LA (Local Initiatives Support Corporation: Home) is a proud funder of Long Beach Center for Economic Inclusion’s Small Business Resiliency CEO Forum. The free program provided small business owners with the strategies and support to pivot during COVID times. The virtual sessions allowed CEOs to learn from business experts and their peers to lay the foundation for a new path forward and long term business growth.*

The program was from February 24, 2021, to May 5, 2021. Our President, Ebitari Larsen got selected for the program and she graduated successfully on May 5th 2021. Upon completion of the program business owners became a part of the Long Beach Center of Economic Inclusion community and received free one on one advising from a business mentor for a six-month period.
 

Ebitari worked on corporate Vision, Mission and Values and gained valuable insights in how to build capacity at DDS through partnerships, freelancers and interns. She was advised to start a board for DDS and learned the importance of being in a good networking group. Ebi was paired with a mentor during the program. Her mentor is Dr. BJ Hawkins.

The program helped us create a vision for 2021 and beyond. Thank you Long Beach Center for Economic Inclusion for such a visionary program.

DDS Stands with Black Women on Black Women’s Equal Pay Day

Black Women’s Equal Pay Day marks how far into the new year black women had to work to earn what white men made in the year prior—getting paid just 63 cents for every dollar paid to white men*. This gender-based racial wage gap hurts all black and other women of color, and this needs to be fixed. But this year just like previous year, we’re sounding the alarm for the millions of Latinas and Black women who have suffered in pandemic and an unfair system that’s failed them for generations. 


DDS wants to raise their corporate voice this August 3 to join the black women in getting their rightful paychecks. Black women are strong independent women that are no less than white women or white men, They are highly educated and competitive and serving on high authority jobs. The current Covid-19 situation has increased the pay disparities which is already deeply rooted U.S. society. Apart from the wage gap, black women are handling both domestic responsibilities as well as working extra hours at work. This wage disparity impacts their spending power and creates gaps in Social Security and pensions. DDS stands with these hardworking and diligent women and there’s no reason in paying them less than their white counterparts when these high-performing women are leaders.


Its high time we challenge the legal, racial, and cultural barriers that have allowed the gender wage gap to persist. Companies and organizations need to understand the fact that employees who are paid equally and on fair basis are more committed than those who are unequally paid. Black women form about 13% of total population of women in the US and their fight for equal rights seem to unending. 


This year DDS stands in solidarity with Black community and urge everybody to take the stand and come out of any remaining sexist and racist corporate systems in harmony for a better and united future. Let’s get together on Black Women’s Equal Pay Day and stand up for ourselves.

Zoho One Tip: Is Zoho Sign Secure?

Zoho Sign is an essential tool for many businesses including in the insurance, health and financial industries for signing documents. Zoho Sign is a way for businesses to collect verified digital signatures on documents that will function as legal documents.


I’ve had a few people ask me if Zoho Sign is secure. The concern is that they don’t want their documents to be exposed to the public during transfer and get into the wrong hands who can then access private information.


The answer is  that Zoho Sign is secure and on two levels that I want to address.

  1. The first is that you can assign secure two-factor authentication on the documents to sign. 
  2. The second is that signers have the option to sign into a portal to access their documents.


I’ll show both levels of security below.

Integrate your Zoho Sign, in Zoho One, into your Zoho CRM then go to the customer or prospect you need to sign a document and click the button for ‘Send for Zoho Sign’.

Opt to use a Zoho Sign Template for this example.

Select your Zoho Sign template.


You must have already created this template in Zoho Sign. We will provide another blog on creating Zoho Sign templates.

The CRM data autopopulates into the fields required for the Zoho Sign template if the setup on Zoho Sign is done correctly.

Scroll down to the bottom of this section to where the Recipients are listed.


Then you have the option to set an authetication by clicking the button shown.


You can authenticate by:

  • Email – an email authentication will be sent to the emails associated to the recipients that cannot be altered.
  • Offline – you will gain access to the authentication code and you can send it to the recipients.
  • SMS – to use SMS you must have an SMS provider integrated into your CRM.


Click ‘Next’ to go to the next screen. You can also click ‘Quick Send’ to skip the details and send the document direcly from this screen.

In the next screen, you will be able to set if the document should be sent to all recipients at one or in the offer of which the signatures were inserted in the list shown.


In this screen, also confirm who needs to sign.


Also, confirm that the authentication is on as the two, key buttons are green.


Click ‘Continue".

If you have multiple signers on your document, they will be color coded as shown in the screenshot.

Confirm sending the document for signature and the document will be delivered via email to the signers.

Recipient receives Zoho Sign invitation in their email.

Recipient clicks the link in their email to start signing the document.

This is what it looks like when the recipient gets to the authentication screen.

The recipient will receive a second email after they reach the authentication screen with the authentication code in it.

The recipient will receive the authentication code in an email like is shown in the screenshot.

These are the steps the recipient will go through to sign the document.


They must first accept the ‘Electronic Record and Signature Disclosure’ shown at the top of the screenshot.

The recipients enters their required fields and signs.


Note the other recipient is not editable right now.

This is what the recipient’s signature might look like when complete int he screenshot shown.

This is what the final step of the signing looks like as shown in the screenshot.


The recipient will need to click ‘Finish’ or ‘More actions’ to complete the signature.

Portal Access to Zoho Sign Documents

Recipients can sign into their Zoho Sign account and see their processed documents.

This screenshot shows the ‘Received’ Zoho Sign documents for this Recipient.

Recall how we started the signature for a document in Zoho CRM. Well, you can share the Zoho CRM portal with the recipient and they can have access to all their signed documents with your organization.

There are several levels of portals available to your in Zoho CRM. There is a very effective free version of the portal as well as more advance, paid versions of the portal for greater user requirements.

Zoho CRM Video Tip: What is a Deal, anyway?

The Deal is also called Opportunity or Potential depending on your organization. I usually place the Deal module or tab in between the Leads module and and the Contact and Account modules. This is because, I look at a Deal as an in-between stage between the Lead and the Contact and Account.


In CRM, Leads are very ‘raw’ people you know. At the Lead stage, you have very little interaction with the people and you have not been able to get a sense of how much money you can make from those people. They have not been qualified or quantified yet.

When you know how much you think you can make if you win the Lead, it’s time to convert the Lead to a Deal, Contact and Account. The company on the Lead becomes and Account and the Lead’s first and last name become a Contact. The Deal is that in-between stage where you can now start to track the quantified possibility of a sale..

Zoho CRM Tip: Working with Views 

Views are an important way to slice and dice your data that are saved and you can come back to at any time. Where with filters, you can search for a criteria on demand, with the View, the search criteria are saved as a list and there are some important features of the Views such as syncing to Zoho Campaigns for example.


So Views can be used as your lists that you review regularly for specific criteria. There are default views and you can make custom views. You can come back to a View at any time.


Some default Views are:

  • All records
  • My records
  • Recently Created Records
  • Today’s Records
  • Converted Leads
  • etc.


See the screenshot below for where to find the Views in any module. In this example, we are showing the Leads module for Views.

This is what the window looks like when you edit or create a View. When you edit some of the default Views, you will be unable to apply criteria to them. All custom Views you create can apply criteria.

Available Logical Operators for Specifying Criteria


The logical operators available for use in criteria depend on the data type of the selected field

Depending on the field type and operator used, you may need to specify more than one value in the criteria for a custom list view.

The 4th of July is around the corner and we are excited to celebrate with our nation. America is moving into a summer which is drastically changed from last year. We would not be wrong to call it a summer of freedom; a summer of bliss. A summer of getting back together and a summer of festivity.
