Zoho CRM Video Tip: Custom Fields in Zoho CRM

In Zoho CRM, you can add new fields as per your needs. These fields will be available to all the users added to your organization’s CRM account and they can make changes to it as per the access given to them.


Types of Custom Fields

  • Customize Zoho Defined Fields: You can edit, delete and hide some of Zoho defined fields, but not all fields can be changed from mandatory settings. These Zoho defined fields are mandatory in Zoho CRM. For example, Last Name in Leads, Subject in Tasks etc.
  • Set Field Access Permissions: You can hide the fields for users in a specific profile or mark the fields as Read Only. 

To edit the Custom Fields according to your business requirements please follow the steps below:

  • Log in to Zoho CRM with Administrator’s privilege.
  • Click Setup Customization Modules and Fields.
  • Select the Module from the drop-down list.
  • In the List of Modules page, click New Custom Field
  • In the New Custom Field page, do the following:
    • In the Select Field Type section, select the data type.
    • In the Provide Field Details section, specify the custom field details.
  • Click Save.

    Zoho CRM Tip: The Contact Tab (Part 2)

    This is part 2 of the Contacts Tab blog. In part 1 of the Contact Tab we walked you through the basics of Contact tab, Contact profile and how to edit the Contact. Here we will elaborate Multiple Contacts in Single Account, how to select the Account for the Contact and see Contacts as Related List in the Account Profile, 


    Multiple Contacts, Single Account:

    When you select the Account Name from the pick list in a Contact profile, it associates the Contact to that Account. From then on, scrolling down below the Account information will show the related list of Contacts and this will show all the non-Primary Contacts in that Account.


    When you pick the Account name be sure it does not exist because typing the name in the field creates a new Account which creates a duplicate.

    Choose Account:

    This is what a pop-up looks like when you click the lookup on Account

    Use the search functionality to narrow down the options and find the record you are searching for.

    You have to click the magnifying glass for the search to run.

    Contacts as Related List to Account:
    This is what it looks like when you scroll down past the Account profile in the Account and see all the related Contacts. This is called a Related List. Keep scrolling and you will see other related lists like Emails, Open and Closed Activities, Products etc.


    To quickly get to the Related List you want, click on the List on the left-hand side of the screen.


    You can add the new Contact, by clicking the "+" sign on both locations.

    Zoho CRM Video Tip: Workflow Rules

    In this video, you will learn about workflow rules and how to create them and set the conditions for the trigger. 

    Workflow Rules in Zoho CRM, are a set of actions (email notifications, tasks and field updates) that are executed when certain specified conditions are met. These rules automate the process of sending email notifications, assigning tasks and updating certain fields of a record when a rule is triggered.

    The steps to create a workflow rule are divided into 4 parts


    1.Go to Setup Automation Workflow Rules.

    2.In the Workflow Rules page, click Create Rule.

    3.  In the Create New Rule pop-up, do the following:

    Select the Module to which the rule applies from the drop-down list.

    Enter the Rule Name and Description.

    4.Click Next.


    Workflow rules allow organizations to automate business activities based on a predefined rule being triggered.

    Zoho CRM Video Tip: What is a Deal, anyway?

    The Deal is also called Opportunity or Potential depending on your organization. I usually place the Deal module or tab in between the Leads module and and the Contact and Account modules. This is because, I look at a Deal as an in-between stage between the Lead and the Contact and Account.


    In CRM, Leads are very ‘raw’ people you know. At the Lead stage, you have very little interaction with the people and you have not been able to get a sense of how much money you can make from those people. They have not been qualified or quantified yet.

    When you know how much you think you can make if you win the Lead, it’s time to convert the Lead to a Deal, Contact and Account. The company on the Lead becomes and Account and the Lead’s first and last name become a Contact. The Deal is that in-between stage where you can now start to track the quantified possibility of a sale..
